‘Time is money’ Useful Tips to efficiently time manage!

As an entrepreneur, you may feel that there is not enough time to carry out the tasks for your business, and also include your personal life somewhere in the middle of it. When you own a business, the tick tock on the clock, is the sound of a falling coin, earned or wasted. Therefore, managing your time efficiently during your working day is essential in order not to find yourself staying late at the office working and stacked with an endless task list, which will ultimately lead you to miss out on other more fun things in your life, a friend’s birthday, a cup of coffee with friends.

The truth is, we know all about these situations, as it took a while to get used to the new set of things and start planning efficiently. So, today, we would like to share with you a few hints and tips we’ve gathered through our journey up to now:

  1. Set your priorities.

Focus on one thing at a time, and start with the most important task! This is important, in order for you not to get confused and waste time on figuring out where to focus! Also, the most important tasks, are usually those which take us more time to prepare, even if this is an email to an important client. Getting them over and done with during the morning, when the brain is still rested, will make you more efficient in completing your tasks fast and easier. By the end of the day, it’s better to just deal with company administrative stuff, rather than client related issues! In order to achieve the above, a short “To Do List” is the key! Having all your tasks written down will allow you to identify and focus on the urgent tasks, leaving the less important ones for later. However, the “morning rule” is not a rule! There are some people who are more creative during the afternoon or even in the evening. It’s up to you to find your personal optimal productive time and manage your list accordingly. Whichever the case may be, the aim is to finish the critical tasks when you are most energetic and have the fewest distractions.

  1. Attention to the “time – thieves.”

The term “time-thieves” fits like a glove, as, during the day, we find ourselves distracted quite a few times! Some these thieves are the breaks you have for a smoke, a call, or surfing to the internet. Losing sense of time is the easiest thing that can happen to any of us. You say, I’ll have a break for 10 minutes and surf on Facebook, and then suddenly, one hour later, you’re still surfing! Raise a hand if this has happened to you! If you are going to take a break, it’s better to get up and walk around the office, go outside to get some air or just have a look outside the window! If you are a smoker, make it a rule to go out every one or two hours, depending on how heavy of a smoker you are, and always know that once you finish your smoke, you have to go back inside. A good practice for less telephone distractions is to leave your phone in your bag or just outside your office in silent – non vibration mode. This will help you to forget about it and take it only when you are having a break. Your clients can reach you on the office’s landline. Of course, should you not have an office this is not feasible but, still, try to minimize its use. Finally, social media is the biggest thief of them all! Our suggestion is to completely disconnect from them when you are working! Do whatever you need to do in social media with regards to your marketing and promotion and then just shut it down!

  1. Organize your space.

Once you are in the office, you need to make sure that nothing distracts you from your job, so, for example, if you receive hundreds of emails every day, turn off the notification sound and focus! Truth be told, notification sounds are annoying even when you are not working! Also, have in mind that disorder and bad arrangement can affect your performance too! Make sure that everything around you is in the right place. However, there is a group of people who like to have their papers around them. Some feel safe, others feel motivated and others like some disorder in their space. That’s still ok, just as long as you know where your stuff is and you have easy access to your documents, in order not to waste time looking for them! Of course, we are talking about a rational paper situation and nor a chaotic paper thing!

  1. Find time for you!

Now, this is one of the most important aspects of time management! Having a rest and getting some time for you will keep your spirits up and keep you rested. As a result, you become more efficient in carrying out your tasks, thus managing more tasks in a day and becoming more time efficient. Let’s face it though, when you measure and value every minute of your time, to reach targets, plans and goals within strict deadlines, there is no “right time” for your personal life or yourself. If it fits you better, just select a time in the day when you will only look after yourself and put it in your calendar. Adding it there will make you want to follow your schedule and once you’ve done it a few times, it will become a habit you won’t even have to think about!
